QuickBot Privacy Policy

1. Scope and operator

TWE Technology Solutions, also identified publicly as TWE Solutions ("TWE," "we," or "us"), operates QuickBot for internal business analytics and reconciliation. This notice covers the QuickBot application and these public legal pages. QuickBot access is restricted to authorized personnel; publishing these pages does not make the application or its business records public. QuickBot is not directed to children or offered as a consumer service.

2. Information processed

• User and access information: name, work email address, Microsoft Entra identity identifier, assigned roles and permissions, account status, and sign-in timestamps.
• Connected business information: when an authorized user connects and refreshes a source, QuickBot processes QuickBooks Online company and connection metadata, customer names, contact names, email and billing addresses, invoice identifiers, dates, amounts, balances, currencies and customer references, and selected profit-and-loss summary figures. Connected Autotask data includes company and billing-contact details and invoice information used for comparison and reconciliation. Source responses can contain additional fields that are processed transiently; selected normalized results are stored as analytics snapshots.
• Configuration and credentials: connection settings, company identifiers, administrator-confirmed reconciliation settings and mappings, API credentials, and OAuth tokens. Integration secrets are handled server-side using Azure Key Vault, separately from the application database.
• Activity and technical information: audit records can include actor identity, actions, times, targets, outcomes, sanitized request metadata, a hashed IP address and browser user-agent. Hosting and security services may process network information, including IP addresses and request details, to deliver and protect the service.

3. Purposes and sources

Information comes from authorized users and administrators, Microsoft sign-in, connected QuickBooks Online and Autotask accounts, and operation of the service. We use it to authenticate and authorize users, maintain integrations, display financial summaries, compare records, investigate discrepancies, support the application, and maintain security and accountability. Current business-data integrations are read-only; QuickBot does not create or edit accounting or PSA business records.

4. Storage, access, and service providers

The application stores user and access records, integration metadata, reconciliation configuration, analytics snapshots, and audit records in PostgreSQL. Microsoft Azure provides application infrastructure and credential storage; Microsoft Entra provides sign-in. Intuit and Autotask process requests to their connected services under their own terms and privacy notices. Access within QuickBot is controlled by user status and permissions.

These public legal pages are hosted separately on Cloudflare Pages. They contain no financial records, application credentials, login forms, advertising scripts, or analytics scripts added by TWE. Cloudflare may process visitor network and request information to serve and secure the pages. Publishing this site does not transfer QuickBot's application database to this site.

The current QuickBot implementation has no advertising, data-sale, or AI-model-training feature. Business information is used for internal operations, not public disclosure. Information may be accessed by authorized personnel and service providers needed to operate and support the application, or disclosed where required by law or necessary to investigate misuse and protect legal rights. Third-party services have their own privacy practices.

5. Cookies and security

The private application uses authentication and security cookies to support sign-in and sessions. Disabling these may prevent access. These static legal pages do not set application login cookies or include TWE tracking scripts. Hosting-provider security mechanisms may operate independently.

QuickBot uses Microsoft sign-in, an active-user allowlist, server-side permission checks, separate secret storage, and redaction of sensitive audit/log fields. These measures reduce risk but cannot guarantee absolute security. This notice does not claim any independent security certification.

6. Retention and disconnecting

QuickBot persists selected analytics snapshots and audit records; it is not a transient-only viewer. Refreshing replaces snapshot content, but freshness indicators and refresh cooldowns are not deletion deadlines. The current application does not implement a general automatic retention/purge schedule or a self-service erasure function. No fixed deletion period is promised by this notice.

An administrator can clear a connection, which removes active application credentials through the secret store's soft-delete mechanism, resets connection state, and attempts QuickBooks token revocation. Remote revocation can fail; ask an administrator to verify provider-side disconnection where needed. Clearing credentials or deactivating a user does not automatically erase snapshots, audit records, identity records, backups, or soft-deleted secrets. Retained information and deletion requests require administrative handling, taking account of applicable recordkeeping, security, legal obligations, and backup or recovery constraints.

7. Questions, corrections, and requests

You may contact TWE to ask about information relating to you, request access or correction, request deletion or restriction where applicable, or raise a privacy concern. We may need to verify identity and authority before acting. Available rights and exceptions depend on applicable law and the business records involved; this notice does not limit statutory rights. Source-system corrections may need to be made in QuickBooks Online or Autotask, since QuickBot reads those records rather than editing them. Do not assume that a request to disconnect is a request to delete.

8. Updates

We may update this notice as functionality or information handling changes. The effective date identifies the current version. Material changes will be communicated to authorized users before they take effect.
